EXHIBITOR GUIDELINES

The CTS March 2027 Annual Educational Conference is a four day conference entitled 2027 California Thoracic Society Annual Educational Conference & Interstitial Lung Disease Symposium

Day One - Interstitial Lung Disease Symposium - Thursday, March 11, 2027 11:00 a.m. - 6:45 p.m

Day Two – Friday, March 12, 2027 8:00 a.m. – 5:25 p.m.

Day Three – Saturday, March 13, 2027 8:00 a.m. – 5:25 p.m

Day Four - Resident/Fellows Track Symposium - Sunday, March 14, 2027 8:00 a.m. – 12:30 p.m

LOCATION OF MEETING AND EXHIBIT SPACE

The CTS Annual Educational Conference will be held at the Portola Hotel, at the Portola Hotel located at Two Portola Plaza, Monterey, CA 93940.

The CTS has secured a limited number of rooms at the Portola Hotel. For check-in on Wednesday, March 10, 2027 and check-out on Sunday, March 14, 2027, the room rate is $285 per night plus taxes. (Your welcome to come early and stay late, rates cover Sunday March 7th thru Wednesday March 17th) Room rate expires February 16, 2027.

EXHIBIT SPACE/FEES (SEE EXHIBITOR REGISTRATION FORM BELOW)

Standard Exhibit Spaces are restricted to one 24 x 60” table top with two chairs for exhibitor, provided by the CTS, or a pop- up free standing exhibit provided by the exhibitor that occupies the same size foot print as that allowed for a table and chairs.

Grand Exhibit Spaces are restricted to two 24 x 60” table tops with two chairs for exhibitor, provided by the CTS, or a pop- up free standing exhibit provided by the exhibitor that occupies the same size foot print as that allowed for two tables and two chairs.

Prime Location for Standard Exhibit Spaces are restricted to one 24 x 60” table top with two chairs for exhibitor, two highboys provided by the CTS, or a pop- up free standing exhibit provided by the exhibitor that occupies the same size foot print as that allowed for a table and chairs. The purpose of Prime Location Exhibit space is to enable the exhibitor to select a space that provides attendees with the easiest access and the greatest visibility to their exhibit.

Additional service charges for electrical, special lights and other special services are the responsibility of the exhibitor.

Exhibitors are assigned space based on prior history of CTS support for the CTS 2026 Annual Meeting in Monterey, California.

Exhibitors are required to complete an EXHIBITOR REGISTRATION FORM (below), and provide payment prior to the meeting or on site (space available).

Thursday Interstitial Lung Disease Disease Symposium Exhibitors

The fee for Thursday only exhibit space is $6,000 which includes the table, two chairs and complimentary registration for two representatives who are invited to attend the Chronic Obstructive Pulmonary Disease Symposium. Only 8 exhibitor tables available.

Friday and Saturday Exhibitors

Standard Exhibit Spaces: The fee for Friday and Saturday exhibit space is $4,500 which includes the table, two chairs and complimentary registration for two representatives who are invited to attend the CTS March Annual Educational Conference program.  Exhibitors who participated in 2026 Annual Meeting will receive the discounted fee of $4,000.

Grand Exhibit Spaces: The fee for Friday and Saturday exhibit space is $8,000 which includes the two tables, two chairs, two highboys and complimentary registration for two (2) representatives who are invited to attend the CTS March Annual Educational Conference program and  one (1) guest, invited to participate in breaks, plenary sessions and any general social activities offered to attendees.  Exhibitors who participated in 2026 Annual Meeting will receive the discounted fee of $7,500.

Prime Location for Standard Exhibit Spaces: The fee for Friday and Saturday Prime Location exhibit space is $1,500 and must be bundled with the Standard Exhibit Space (includes the table, two chairs, two highboys and complimentary registrations).

SETTING UP AND BREAKING DOWN EXHIBITS:

The CTS executive office will provide personnel on site to: register exhibitors, assign exhibit space and assist with logistics for setting up the exhibit space.

Thursday Interstitial Lung Disease Symposium Exhibitors (Club Room)

Exhibitors will have access to set up their space on Thursday @ 11:00 a.m. – 1:30 p.m.

NOTE: Thursday only Exhibits need to be in place and ready for viewing by Thursday afternoon 1:30 p.m. and at program breaks as listed below:

Thursday, March 11, 2027

• • 1:30 p.m. - 2:30 p.m. Lunch with attendees
  • 4:25 p.m. - 5:05 p.m. Refreshment break with attendees

Exhibits need to be broken down by 6:00 p.m. on Thursday, March 11th.

Friday and Saturday Exhibitors (De Anza I & II & III Ballroom)

Exhibitors will have access to set up their space on Thursday @ 2:00 p.m. – 11:00 p.m.; on Friday and Saturday mornings @ 6:00 – 7:00 a.m.

NOTE: Friday and Saturday Exhibits need to be in place and ready for viewing by attendees for program registration Friday and Saturday mornings by 7:00 a.m. and at program breaks as listed below:

Friday, March 12, 2027

  • 1:00 p.m. - 2:00 p.m. Lunch with attendees
  • 3:00 p.m. - 3:20 p.m.

Saturday, March 13, 2027

• • 10:10 a.m. - 10:50 a.m.
  • 12:55 p.m. – 2:00 p.m. Lunch with attendees
  • 2:20p.m. - 2:45 p.m.

Exhibits need to be broken down at the conclusion of the 2:45 p.m. break on Saturday, March 13th.

SPECIAL NON-CME PROGRAM OPPORTUNITIES

This year, CTS, for an additional opportunity fee, is offering companies on a first come, first serve basis the possibility to support special Non-CME activities.

A 50% cancellation fee will be applied to cancellations received fourteen (14) days after the initial payment is
made and within forty-five (45) days of the event. No refunds will be issued thereafter.
